Meeting Room Policy

In accordance with the Pierce Public Library goals and objectives, the meeting room is primarily to be used to enhance library services to the citizens of Pierce and the surrounding area. The meeting room is for use of library staff to present library programs such as story times for children, reading clubs and other library related activities. When not in use for these purposes, the meeting room is available for public gatherings; which are of a civic, cultural or educational nature. The fact that a group is permitted to use the Pierce Public Library meeting room does not constitute endorsement of the group’s policies or beliefs.

Advance reservation of meeting room is required and failure to comply with the above stated policy may result in cancellation of reservation without notice.

Pierce Public Library reserves the right to deny or revoke permission to use the meeting room to any group at any time. Regulations for use of the meeting room will be posted.

Regulations

Advance reservation of meeting room is required.  Reservations for use of the meeting room shall be made with the library staff member in charge of the meeting room schedule.  Reservations may be made by telephone along with the date and time.  Special arrangements can be made so that the group can meet before/after library hours.

Reservations may be made no more than twelve months in advance of the meeting.  The library shall have the right to limit the number of meeting held by an organization in order to make space available to as many groups as possible.

If a meeting is cancelled, the library should be notified as soon as possible so that this space may be made available to others.

Neither the name nor the address of the Pierce Public Library may be used as the official address or headquarters of any organization.  No mail or shipments of materials will be accepted for organizations or individuals.  Further, any use of the library phone number is also prohibited.

Neither the library nor its employees shall assume responsibility for any property of groups or organizations.

Decoration of meeting room shall be kept to a minimum.  Before the meeting dismisses, the room must be cleaned up.

Smoking is not permitted on library premises.

Light refreshments are permitted as long as everything is cleaned up before leaving.

Groups may arrange to use library audio/visual equipment when available.  However, no one shall use them unless he is properly trained.  This may require that a member of the group make an appointment with a library staff member prior to the meeting to receive training.

Groups shall not exceed the legal capacity of the meeting room.  It is the group’s responsibility to monitor compliance with these regulations and to deny admittance to the room to people who would cause the group to exceed the posted capacity.
